How AccelEx protects your data and respects your privacy
Accel Express LLC (doing business as AccelEx, "we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our enterprise workflow intelligence platform, website (accelexpress.com), and related services.
1. Information We Collect
Business Data: When you use AccelEx to process unstructured operational inputs (documents, images, audio, communications), we process the content you submit solely to produce deterministic workflow outcomes: structured invoices, contract intelligence, case objects, compliance records, and validated business decisions. All processing is ephemeral by default.
Account Information: Name, email address, company details, billing information, and authentication credentials required to operate your enterprise account.
Usage Data: Pipeline execution logs, workflow completion metrics, audit traces, confidence scores, and system performance data required for billing (per completed work unit) and operational monitoring.
Technical Data: IP addresses, browser type, API request metadata, and system interaction logs collected for security and performance optimization.
2. How We Use Your Information
- โ Produce deterministic business outcomes โ transform your unstructured inputs into validated, decision-ready records with full traceability
- โ Execute downstream business actions โ route completed work units to your enterprise systems based on configured pipelines
- โ Improve pipeline accuracy โ adapt to your document structures and domain edge cases at the workflow level, creating operational intelligence that remains your property
- โ Billing and compliance โ calculate charges based on completed workflow units (per invoice, per contract, per case, per compliance record)
- โ Security and auditability โ maintain validation traces, provenance records, and transformation logs for regulatory compliance
3. Data Processing & Ephemeral Architecture
AccelEx operates as a decision production system, not a data storage service. By default, raw input content is processed ephemerally and not retained after the completed work unit is delivered to your systems. Structured outputs (validated invoices, parsed contracts, resolved cases, compliance records) are delivered to your designated endpoints. You control retention policies for both inputs and outputs through your pipeline configuration.
We do not use your business data to train generic models. Any operational intelligence that accumulates is specific to your document structures and workflow patterns, remains segregated per customer, and never cross-pollinates between enterprise accounts unless explicitly authorized.
4. Legal Basis for Processing (GDPR & CCPA Compliance)
For customers in the European Economic Area or California, we process personal data based on: (a) performance of our contract with you or your organization, (b) compliance with legal obligations, (c) our legitimate interests in operating secure, auditable workflow infrastructure, and (d) your consent where required. You have the right to access, correct, delete, or restrict processing of your personal data, subject to contractual data retention requirements for completed workflow units.
5. Data Sharing & Subprocessors
We do not sell your personal or business data. We share information only:
- โข With your explicit direction โ delivering completed work units to your specified enterprise systems, APIs, or storage locations
- โข With authorized subprocessors โ infrastructure providers (cloud hosting, encryption services) bound by data protection agreements. See our Subprocessors page for current list
- โข For legal compliance โ when required by law, regulation, legal process, or government request
- โข For security and fraud prevention โ to detect, prevent, or investigate security incidents or violations of our Terms
6. Data Security & Encryption
All data is encrypted in transit (TLS 1.3+) and at rest (AES-256). Each workflow unit carries full provenance, validation traces, and audit logs. We maintain SOC 2 Type II compliance and support deployment options including managed service, private cloud, or isolated on-premise infrastructure for regulated sectors. You retain complete ownership of all inputs and structured outputs.
7. Data Retention
Raw input data is retained only as long as necessary to produce the completed workflow unit, typically less than 30 days unless you configure longer retention for audit purposes. Structured outputs (invoices, contract records, case objects, compliance records) are delivered to you and retained according to your pipeline configuration. Audit logs and completion metrics are retained for 12 months to support billing verification and compliance reporting.
8. Your Rights & Choices
Depending on your jurisdiction, you may have the right to: access your data, correct inaccuracies, request deletion, object to processing, export your data (portability), and lodge complaints with supervisory authorities. For California residents, we do not sell personal information as defined by the CCPA. To exercise any rights, contact privacy@accelexpress.com.
9. International Data Transfers
AccelEx operates from the United States. If you use our services from outside the US, your data may be transferred to and processed in the US. We implement Standard Contractual Clauses (SCCs) and equivalent safeguards for international transfers to ensure adequate protection.

10. Changes to This Privacy Policy
We may update this policy to reflect changes in our practices or legal obligations. Material changes will be notified via email or through your account dashboard at least 30 days in advance. Continued use of AccelEx after updates constitutes acceptance of the revised policy.
AccelEx sells automated resolution of enterprise work, not interpretation of data. Every processed unit carries deterministic outcomes with full auditability, designed for regulatory compliance and risk-controlled decision automation.
